Resources for Plan Year 2021

During benefits Open Enrollment, it’s important to know your needs and understand the different benefits options so you can make informed choices and choose the coverage that best supports your physical and financial well-being. HR has an array of resources available to help you evaluate your needs and understand the different benefits options:

Open Enrollment Presentations - Group presentations will not be held in person across Grounds this year, but instead will be virtual via Zoom, giving you the flexibility to choose many times and days to attend. Visit the Open Enrollment Presentations 2021 webpage for details.

Benefits and Well-Being Expo - The Expo will be virtual this year, and will run for the entire Open Enrollment period, October 5 - 16. Access the Virtual Expo at your convenience to learn more from vendors and HR team members, watch informational videos, and win prizes. Live presentations on benefits and well-being topics will run the first week of Open Enrollment, but recordings will always be available. Visit the Expo 2021 webpage for more details.

    Watch this video to learn about the new virtual platform for this year's Benefits and Well-Being Expo. Enjoy the Expo from the convenience of your preferred location, anytime between October 5 and October 16.

  • Picwell

    Picwell - an online personalized tool that uses big data to compare information you input with millions of other Americans to determine the best fit. Previously just available for the health plan, Picwell now includes details about health, dental, vision, and benefits savings accounts, including how much you should save in your HSA for anticipated medical bills.

  • ALEX, Step-by-Step Virtual Assistant

    Use "ALEX," a step-by-step virtual assistant who helps you choose 2021 benefits. You enter basic information, and ALEX responds with a customized experience, showing you what’s available and how to get the best value for your investment. Gather information in advance about your healthcare provider visit frequency, prescriptions, and vision and dental care needs in order to get the most accurate assistance from ALEX.

  • Open Enrollment Brochure

    The Overview mailer about Open Enrollment has been expanded into a 12-page brochure and details key dates, benefits changes, action items, what’s new for 2021, resources, and how to enroll in Workday.You will receive your Open Enrollment printed brochure in the mail by September 21. In the meantime, here is the PDF version if you'd like a sneak peak!

  • Cost Comparison Mailer

    The Cost Comparison mailer has been expanded into an 8-page booklet and not only includes the four “Health Plan Options at a Glance” tables you have enjoyed in previous years, but also a shortened version of the Aetna Schedule of Benefits comparison table for in-network services, a comparison of dental plan options, additional resources, and key dates. You will receive your Cost Comparison booklet in the mail by September 28. In the meantime, here is the PDF version if you'd like a sneak peak!

Aetna Medical and Prescription Resources

Visit the Aetna website and click on “Log in/Register” to access these resources:

  • Find Care & Pricing: Compares costs for common medical tests, services, and procedures based on your plan details and gives you real-time, personalized estimates. 
  • Custom Doctor Find: Confirms whether providers are in-network, so you can get the best value for your needed services
  • Aetna Institute of Quality List: Lists IOQ facilities that meet Aetna’s evidence-based and recognized standards for clinical outcomes and patient safety with the following procedures:
    • Cardiac care
    • Orthopedic care
    • Bariatric surgery
  • Aetna Plan Selection Tool: Online tool to help you choose your health plan. Once logged in, it allows you to view your actual claims history. Follow instructions here.

Enroll in Workday

  • To review and elect your benefits in Workday

    • Navigate to Workday
    • In your Workday Inbox, click on the message titled "Open Enrollment Change: [Your Name] on 01/01/2021"
    • Follow the instructions to navigate through each part of the Workday Open Enrollment screens:
      1. Modify medical, dental, vision benefits, if desired
      2. Add or drop dependents, if applicable (adding a spouse requires spousal affidavit to be completed before finalizing your benefits elections). Confirm social security numbers for dependents.
      3. Elect/waive Health Savings Account and Flexible Spending Account
      4. View insurances and long-term disability
      5. Confirm or change beneficiaries for life insurance
      6. If you are not ready to submit, back up one page using your "back" arrow in your browser, and select "Save for Later"
      7. When you are ready to submit, electronically sign at the bottom of the last page and press the SUBMIT button
      8. Workday does not currently offer the option to confirm your elections in writing, so after you submit your elections, it is a good idea to print a copy of your elections confirmation for your records. This will save a PDF of the document, which you can print or save.
      9. Watch for additional emails in your Workday Inbox related to post-Open Enrollment action items you made need to take

  • If you Change Your Mind on an Open Enrollment Choice You Made and Open Enrollment Has Not Closed

    You can make changes to your elections as long as the Open Enrollment period is open, even after you have submitted your elections.

    1. From the Benefits app in Workday, click on "Change Open Enrollment"
    2. You will be making changes to what has been previously submitted. Any changes made will need to be resubmitted. If you do not resubmit, the changes will be deleted and the previous submission will remain in effect.
    3. Move through the same screens to elect or waive coverage
    4. Once changes are complete, electronically sign at the bottom of the last page and press the SUBMIT button
    5. Print the new confirmation of benefits elections
