Employment and Salary Verification


Employees may need to have employment or salary verified to buy a home, rent an apartment, establish credit, apply for a loan, purchase a car, travel (if with immigrant status), etc. Requests for employment and salary verification can vary and have different requirements depending on the request. This page offers information on how to successfully submit or complete each request.

Most requests will be completed in 5-7 business days, in the order in which the requests are received. Please be aware that UVA is limited to supplying the information on record within the constraints of compliance policies when completing all requests. HR can only verify using information found in UVA's Workday, Oracle or Peoplesoft systems.

  • Employment and Salary Verification

    University of Virginia has partnered with The Work Number® for your employment or salary verification needs, whether for buying a home, renting an apartment, applying for a loan, or any other activity requiring this documentation. Please review the Work Number website for additional information or contact The Work Number for your verification needs. Their services are available 24/7. The Work Number database is a simple, secure, and discreet way for companies to obtain proof of your employment and income information when needed.

    The Work Number requires verifiers to provide an Employer Code. This code identifies our organization with The Work Number. Below are all associated Employer Codes for the University of Virginia, the University Medical Center, and the University of Virginia Physicians Group:

    • Academic Division: 14053
    • University Medical Center: 14563
    • University of Virginia Physicians Group: 19623

    Note for Verifiers: If the employee you are attempting to verify employment for transferred between any of the above three UVA organizations within the last three years, you will need to pull a report for each employer code.

  • How to Use The Work Number

    1. Start by going to The Work Number employee login.

    2. Select “Log In” and follow the simple prompts.

    3. Enter the appropriate Employer code. Reminder to use one of the following UVA Employer codes:  ACD 14053, MC 14563, UPG 19623

    4. Once you have clicked on the correct employer, it will take you to the Log In screen. 

    If you have not already registered, register by selecting “Forgot User ID”. 

    The screens prompts will walk you through the steps to help verify your identity and keep your account private while offering helpful messages if you have problems.  The information entered must match UVA records for registration to be completed successfully.

  • Immigration Verification

    Email immigration verification requests to AskHR@virginia.edu. We are only able to accept requests directly from the employee. We do require a 5-7 business day turnaround on immigration verification letters, as all verification requests are processed in the order in which they are received.

    Please provide as many details as possible such as necessary details, recipient information, and reason for the documentation. Turnaround may be delayed if all information is not included in the original request. 

    Other verification types may be requested and are reviewed individually to determine if we are able to provide the information that is being requested and whether or not a referral to The Work Number is required.

    Students on an F-1 Visa who need verification of employment to obtain a social security number (SSN) should speak to their manager. Managers can fill out the F-1 Visa form for SSNs. This form can be requested from AskHR@virginia.edu or the International Studies Office.

  • Public Service Loan Forgiveness

    Eligibility: Public Student Loan Forgiveness (PSLF) is a Federal Student Aid program. To determine if an employee qualifies, the employee will need to contact Federal Student Aid. UVA HR is unable to determine whether individuals will qualify, but can provide the form to employees verifying the dates and hours they have worked for UVA. This information does not guarantee that their PSLF will be accepted by Federal Student Aid.

    HR’s Role: HR can complete PSLF forms for employees who have been paid through UVA's FInance department. If you are a contracted employee or are not paid through UVA Finance, HR cannot verify employment. If you had a change in hours, then the verifying party must submit more than one PSLF form to reflect each change. HR can only verify using information found in UVA's Workday, Oracle or Peoplesoft systems. 

    Filing Paper Form Requests: The paper PSLF forms requests must be submitted electronically to AskHR@virginia.edu. They cannot be completed in person. Managers must not attempt to complete these forms. Employees must leave their SSN and date of birth off the form initially.  Once the employer section of the form is completed by UVA HR, it will be returned to the employee via email. It is the employee’s responsibility to ensure the form is fully completed before submitting to Federal Student Aid.

    Filing Electronic Form Requests: The electronic PSLF forms can be submitted by the employee through the Federal Student Aid website.   More information can be found about the process by choosing “Loan Forgiveness” from the top menu or the link in the “Popular Topics.”

    Federal Student Aid will ask for an employer email to send these forms to. Please have them sent to AskHR@virginia.edu, as they will come to UVA Human Resources through its email by DocuSign. HR can make adjustments to the dates of employment if they are incorrect. However, if the hours worked are incorrect, HR cannot adjust them, and an email will be sent to the employee requesting a correction be made.  

    Similarly, if there had been a change in the number of hours worked during the employee’s tenure, more than one form will need to be submitted. Due to the volume of these requests, HR is unable to email employees directly to verify their form has been completed.

    If employees are submitting their form electronically, verify directly with Federal Student Aid that the form has been completed. There have been instances where the DocuSign email from HR has expired, or the link has been rescinded. In these cases, HR is unable to see who the employee is that is making the request; therefore, we are unable to let them know there was a problem with the form.
