Flu Gets Nixed in '26!


Flu season is around the corner. Influenza (flu) vaccination is a critical step in protecting yourself, your coworkers, family, and your community from infection with influenza virus. Pursuant to promoting healthy lifestyle choices and a healthy workplace for all UVA team members, UVA Health and the CDC encourages annual flu vaccinations for all who are able.

Flu vaccines are free for all UVA Health team members and available starting Sep. 21. Employee Health-sponsored events are offered for UVA Health employees.

Flu vaccination is mandatory for all Tier 1 UVA Health team members

  • Per the Occupational Health Screening and Maintenance Health System Policy v.4, either a flu vaccination or an approved exemption is required for Tier 1 team members who fall under the purview of the policy (this includes people working in the MR buildings, McKim Hall, Pinn Hall, Fontaine Research Park buildings, and more).
  • Per Health System Policy OCH-002, Tier 1 team members are those whose job-related activities require them to be present in UVA Health facilities at any time in a given calendar year.
  • Tier 1 UVA Health team members have through Oct. 31 to become compliant with the flu vaccination requirement.

Flu vaccination is optional for most Academic Division employees; however:

  • Employees working in UVA Health entities (including UVA School of Medicine, School of Nursing, and Claude Moore Health Sciences Library) are required to receive a flu vaccine, as described in Health System Policy OCH-002. Tier 1 employees are those whose job-related activities require them to be present in UVA Health facilities at any time in a given calendar year. 
  • Employees in positions who support the Health System that require regular work within UVA Health facilities as identified in HRM-034 are required to receive a flu vaccine. These may include but are not limited to positions in Facilities Management, Safety and Security, and UVA Human Resources
  • Academic Division employees have through Oct. 31 to become compliant with the flu vaccination requirement.  If you are unsure of your compliance requirement, please reach out to your management team or HR Business Partner.

Why you should get a flu vaccine

  1. The flu vaccine prevents tens of thousands of hospitalizations and millions of illnesses and flu-related doctor’s visits each year. 
  2. As a benefit of being employed by UVA, it’s entirely free to you!
  3. It's convenient, with walk-in availability at 5 locations around Grounds for Academic staff, and a broad time schedule.

Where to get a flu vaccine

  • At Your Work Location: If the department manager requested a to-go kit, you will be able to receive your flu vaccine in your clinical work location. Ask your clinical manager if this is an option for you.   
  • UVA Health Walk-In Clinics: All UVA Health team members can utilize the Employee Health walk-in clinics Sep. 21 – Oct. 31. See Schedule and locations
  • Employee Health: For UVA Health team members. By appointment only. Call 434.924.2013 to schedule.
  • WorkMed (1910 Arlington Blvd., Charlottesvilles): For Academic Division employees subject to Occupational Health Screening and Maintenance Health System Policy v.4.  By appointment only. Call 434.243.0075.
  • Primary care provider or community pharmacy: If you receive your vaccine from your PCP or pharmacy (including those affiliated with UVA Health), you must present your documentation to Employee Health or email it to fluvax@uvahealth.org.  Documentation must include two patient identifiers (ex: Name and DOB). 
  • UVA Benefits and Well-Being Expos: Two locations will offer flu vaccines this year: University Medical Center ERC (walk-ins, offered by Employees Health for UVA Health team members only) and Contemplative Commons (by appt only, offered by CVS). See schedule below for all employees.

Please note:

You need to bring your faculty or staff id badge to the flu vaccine clinic. 

If you have had an adverse reaction to a flu vaccine in the past, or if you have concerns about receiving injections, we would advise you to consult with your primary care provider, and receive your flu vaccination from that provider for your safety.

How to submit flu vaccination documentation

If you get vaccinated at an Employee Health Flu Vaccine Clinic or through a unit-based to-go kit, your vaccination will be recorded automatically in VaxTrax.  

If you receive your vaccine elsewhere — i.e., from your provider or pharmacy, including UVA Health locations — submit your documentation to Employee Health at fluvax@uvahealth.org. Documentation must include two patient identifiers (ex: Name and DOB) 

Exemption requests must be submitted by Oct. 15

  • Exemption requests must be submitted by Oct. 15.
  • Anyone who received an exemption last year has had their exemption automatically approved for this year. You can check your exemption status in VaxTrax.   
  • New Exemption Requests: If you are seeking a new exemption, access the exemption request form here. You will be directed to sign in using your computing ID and password. Click the “Exemption” button to the right of your 2026 flu vaccine status and select the type of exemption you are requesting. Requests must be submitted by the Oct.15 deadline.

Team members who are not compliant by the associated deadline may be subject to disciplinary action under applicable policies and procedures.
