Vaccines

Seasonal and preventive vaccines are part of the pharmacy benefit for those over age 18. 

Those under age 18 should continue to receive their vaccines through the medical benefit at their doctor's office or at one of the pharmacies in Aetna's Expanded Vaccine Network. The pharmacies should be reminded to bill Aetna instead of AetnaRx so your medical benefit covers the vaccine.

Influenza (Flu) Vaccine

The flu vaccine can help prevent tens of thousands of hospitalizations and millions of illnesses and flu-related doctor visits each year. As a UVA employee, you can receive the vaccine at no cost, and getting vaccinated is convenient, with walk-in opportunities at multiple locations around Grounds and a range of clinic times to fit your schedule.

    UVA Health Walk-In Clinics September 21–October 31 UVA Health + eligible Academic Division employees

    Who can use this option

    All UVA Health team members may use Employee Health walk-in clinics.

    Academic Division employees may also use these clinics if their positions are subject to the Occupational Health Screening and Maintenance Health System Policy .

    WorkMed 1910 Arlington Boulevard, Charlottesville Eligible Academic Division employees

    Who can use this option

    WorkMed is available to Academic Division employees whose positions are subject to the Occupational Health Screening and Maintenance Health System Policy .

    Appointment required. Call WorkMed at 434-243-0075 to schedule.

    Primary Care Provider or Community Pharmacy Get vaccinated outside an Employee Health clinic. Community option

    You may receive your flu vaccine from your primary care provider or a community pharmacy, including pharmacies affiliated with UVA Health.

    If you are required to document vaccination: submit your vaccine documentation to Employee Health or email it to fluvax@uvahealth.org .

    Documentation must include two patient identifiers, such as your name and date of birth.

    UVA Benefits & Well-Being Expos Flu vaccines are available at two Expo locations. Availability varies by Expo

    Flu vaccination opportunities are available at both the UVA Health and Academic Division Benefits & Well-Being Expos.

    This opportunity is available to employees regardless of whether they are subject to the Health System policy.

    How to submit flu vaccination documentation

    If you get vaccinated at an Employee Health Flu Vaccine Clinic or through a unit-based to-go kit, your vaccination will be recorded automatically in VaxTrax.  

    If you receive your vaccine elsewhere — i.e., from the Benefits & Well-Being Expo or your provider or pharmacy, including UVA Health locations — submit your documentation to Employee Health at FluVax@uvahealth.org. Documentation must include two patient identifiers (ex: Name and DOB).

    • Anyone who received an exemption last year has had their exemption automatically approved for this year. You can check your exemption status in VaxTrax.   
    • New Exemption Requests: If you are seeking a new exemption, access the exemption request form here. You will be directed to sign in using your computing ID and password. Click the “Exemption” button to the right of your 2026 flu vaccine status and select the type of exemption you are requesting. Requests must be submitted by the Oct.15 deadline.

    Team members who are not compliant by the associated deadline may be subject to disciplinary action under applicable policies and procedures.
