The I-9 Documentation Process for New Employees

Overview of the I-9 Process

Every new employee is required by federal law to complete the entire I-9 process within three (3) business days of their first day of work or risk termination of employment (unpaid) until the process is complete. Failure to present documentation by due date will put UVA out of compliance with federal regulations. 

Three Steps to Complete the I-9 Process

UVA Human Resources Office offers in person I-9 documentation inspection during regular business hours. No appointment is needed.

Business Hours: Monday - Friday, 8:30 A.M. - 4:30 P.M.

  • Academic Faculty, Staff, and Student Employees

    Academic new hires can view video instructions for an overview of the I-9 process

    UVA Human Resources offers open virtual documentation inspection sessions via Zoom. These sessions are designed for new hires to present their original, physical  I-9 documentation conveniently from any device.

    No appointment is necessary, just click the Zoom link below and join during one of the listed time slots:

  • Medical Center Staff

    Medical Center new hires receive virtual I‑9 session details in their Clearance Email, including the schedule and a Zoom link.

    Identify the acceptable I-9 documentation needed based on citizenship status.

  • Citizenship Definitions and Details

    A noncitizen national of the United States: People born in American Samoa, certain former citizens of the former Trust Territory of the Pacific Islands, and certain children of noncitizen nationals born abroad.

    A Lawful Permanent Resident: Permanent Resident of the U.S.:  You will need your Alien Number or USCIS Number.

    A non-citizen (other than those listed above) authorized to work until (exp. date, if any): This box applies to F1, J1, H-1B, EAD, O1, Refugees/Asylees, E3, or TN holders: 

    • F1/J1 Holders: You will need your foreign passport, Sevis ID number, I-94 number, and the expiration date from your I20 or DS2019.

    • H-1B, EAD, E3, O1 or TN Holders: You'll use your Alien/USCIS Number, and you will also need to enter the expiration date.

    • Refugee/Asylee: You will need your I-94. In the expiration date, enter n/a since your employment authorization does not expire.

  • Where is the I-9 Form located in Workday?

    You will complete the I-9 Form in Workday once the task appears in your My Tasks inbox. Workday releases onboarding tasks one at a time, and two tasks will appear before the I‑9 Form becomes available.

  • Can I present my documentation virtually for Step 3: Document Presentation?

    Yes! UVA HR uses Zoom to offer virtual I-9 documentation sessions, based on where you work.  See the Options for Completing Step 3: Document Presentation section above to learn more. 

  • What type of documents can I use for Step 3: Document Presentation?

    U.S. Citizenship and Immigration Services defines what documentation is acceptable based on citizenship status.  To learn more, visit Form I-9 Acceptable Documents

  • Do I need to have my documents with me for I‑9 verification?

    Yes. To comply with federal I‑9 requirements, you must personally be in possession of your original, acceptable documents at the time of the document presentation step. Photocopies, scans, or documents held by another person cannot be accepted.

    Having your documents with you ensures we can complete the I‑9 verification accurately and in accordance with federal law.

  • What is E-Verify

    E-Verify, operated by the U.S. Department of Homeland Security (DHS) in partnership with the Social Security Administration (SSA), is an online system that verifies employment eligibility based on immigration status for all new hires. It compares information from an employee’s I-9 form to data from DHS and SSA records. Additional E-Verify facts include:

    • E-Verify supplements the I-9 (it does not replace it).
    • E-Verify queries are submitted only after newly-hired employees complete the I-9 within Workday.
    • Federal regulations require employers to conduct E-Verify searches on all employees (currently employed and newly-hired) assigned to work under federal contracts.
    • If E-Verify cannot instantly verify the employee’s work authorization, the employer or employee may have to take additional action.
  • How is E-Verify used?

    E‑Verify is used for all new employees—regardless of their national origin or citizenship status—after they have accepted an offer of employment and completed the I‑9 form.
